When doing a cutover from one Zoho super admin to another, here are some main things to consider so you do not break any integrations that are set up.
When doing a super admin cutover the best practice is to individually change the super admin for each individual application.
You will be able to change the ownership of applications without having issues with any active integrations if the old user is still active.
You will want to make sure all syncs and integrations are moved to a new owner before you disable the old owners account.
Confirm clients availability for the cutover
For the applications Zoho Partner Support needs to get involved with the current super admin will need to be included in all the emails to provide consent for the cutover.
Go through the list of applications in their directory, to confirm the applications they are using and the applications that currently have active integrations
Advise the client to not deactivate the previous super admin before all applications are transferred.
You can temporarily change their password.
For all applications with active integrations work with Partner Support to make the cutover from the current super admin to the new super admin
They are able to make the cutover without interfering with any integrations / syncs.
This ensures we do not break any integrations / syncs
Once you change the super admin in CRM you will need to reconnect the connections.
This does not need done right away, but sooner rather than later
This won’t cause any issues until the previous super admin is deactivated
To set up connections with the new super admin
navigate to Setup - Developer Hub - Connections.
Navigate to My Connections - Revoke, then reconnect
Make sure you archive the emails for the previous super admin if you are deactivated them.
For the Analytics integrations once you change the super admin, it is crucial that you re-authenticate any Workspace data sources that are actively synced.
Within the workspace, navigate to Data Sources - Re-Authenticate.
Confirm that the data sync was successful.
Three30 Group will have to work with Zoho Partner Support to transfer the current super admin to the new super admin (using it or not)
Creator is the only application you have to do this
You will need to repeat this process for every survey you need to transfer ownership of.
1) Hover over the survey you want to transfer to a new user and select the pencil icon to edit
2) Click Advanced Options on the upper right side of the survey builder
3) Click Transfer Survey
4) Select To other users to transfer your survey to individual users. Type in the user's email address in the text box.
5) Click Yes, Transfer Survey. You'll see a confirmation message.
The new owner may receive an email notification to accept the ownership of the survey.
